In many small firms the month has two speeds: three calm weeks and one week of late evenings. The total amount of work is not the problem - its concentration is. Moving even part of it earlier makes the whole month calmer.
1. Open the period on day one
If clients receive their checklist on the first day of the month, those who are organised can start immediately. Waiting until the 5th to ask means losing the first week for everyone.
2. Review documents as they arrive
Reviewing in small batches throughout the month is faster than reviewing everything at once, because problems are found while the client still remembers the transaction. Set aside a short daily or twice-weekly slot just for incoming documents.
3. Reject early, with a precise reason
A rejection on day 3 costs the client five minutes. The same rejection on day 12 costs a missed deadline. The faster the feedback, the less work piles up at the end.
4. Stagger due dates between client groups
Not every client needs the same deadline. Clients with simple bookkeeping can be due earlier; complex clients or those with payroll a few days later. Staggering spreads the review work over more days instead of creating one peak.
5. Process recurring entries in advance
Rent, loan repayments, subscriptions and depreciation are known before the month ends. Prepare them early so that the last week only contains what truly depends on new documents.
6. Automate reminders
Writing reminders by hand is exactly the kind of task that gets postponed to the busy week. Automatic reminders that list only the missing items go out on schedule, even when the team is focused elsewhere.
7. Look at the overdue list, not the whole list
On the due date, open only the list of clients who are behind and what each of them is missing. A short, specific list is easy to work through with a few phone calls - a full client list is not.
Measure the effect
For two or three months, note when documents arrive and when you finish reviewing them. You will usually see the peak move earlier and become smaller - which is the real goal.
MonthDocs opens periods automatically at the start of each month, sends reminders on schedule and lets you review documents the moment they arrive.
