How to remind clients about missing documents without sounding pushy

Reminders work when they are specific, well-timed and easy to act on. Here is how to chase missing documents without damaging the relationship.

Nobody enjoys chasing clients, and clients do not enjoy being chased. Yet most firms need to remind at least some clients every month. The difference between a reminder that annoys and one that gets results is usually not the tone - it is the content and the timing.

Name exactly what is missing

“Please send your documents” forces the client to work out what you still need. “We are only missing the bank statement for the savings account” takes ten seconds to act on. Specific reminders feel like help; generic ones feel like nagging.

Do not remind people who are already done

Nothing erodes trust faster than a reminder sent to a client who uploaded everything yesterday. If your reminders go to the whole client list, segment them: only clients with open items should receive anything.

Pick a predictable rhythm

A simple schedule works for most firms: the request when the period opens, one reminder a few days before the due date, and one on the due date itself. Clients learn the rhythm and stop treating each message as a surprise.

Respect the client's time

Send reminders during working hours in the client's own time zone. A message at 11 pm reads as pressure, even when it is just automation running on your server's clock.

Offer help, not pressure

A late client is often stuck on one document: a bank that changed its export, a supplier who has not invoiced yet. A line such as “If something is holding you up, just reply” turns the reminder into a conversation and often uncovers the real issue.

Make the next step one click

Every reminder should include a direct link to the place where the client can upload. If they have to find an old e-mail or remember a password, the reminder has failed even if they read it.

Know when to switch channels

If two reminders have not worked, a third e-mail rarely will. A short phone call - “I can see we are missing the payroll changes, is everything OK?” - usually solves in two minutes what e-mails could not in two weeks.

A quick checklist for every reminder

  • Lists only the missing items
  • Goes only to clients with open items
  • Shows the due date
  • Arrives during the client's working hours
  • Includes a direct upload link
  • Invites the client to reply if stuck

MonthDocs sends reminders like this automatically: only to clients with missing items, listing exactly what is missing, in the client's language and time zone.
